Ballentine Partners is looking for an enthusiastic Hospitality Administrator to join our administrative team and provide courteous and professional services to guests in our Waltham office.


Responsibilities include:

  • Greet all guests in a professional, friendly, hospitable manner.
  • Open and close visitor area, client pantry, and front conference rooms including wiping down surfaces, restocking drinks, etc.
  • Coordinate food for all meetings both internal and external.
  • Manage audio visual equipment (Zoom) for meetings in the front area as necessary.
  • Support creation of meeting materials and meeting supplies as needed.
  • Utilize the client preference sheets in preparation for client meetings.
  • Handling all incoming and outgoing mail and packages via USPS, FedEx, UPS, etc. including scanning to appropriate parties and managing follow up as needed.
  • Other duties as assigned.

Requirements:

The right candidate will be someone who has the following skills:

  • High School Diploma or GED.
  • Minimum of 1 year front desk experience in a similar setting.
  • Excellent phone etiquette and interpersonal skills.
  • Excellent verbal communication skills.
  • Excellent organizational skills with the ability to multitask.
  • High levels of dependability.
  • Able to work with minimum supervision.
  • Knowledge of MS Office (Word, Excel, Outlook, PowerPoint).
  • Can take initiative and act proactively (i.e., anticipates problems, raises suggestions).
  • Can work both independently and in a team structure with a diverse group of people.
  • Can juggle and prioritize a variety of tasks daily.
  • Is highly organized with a very strong attention to detail.
  • Has excellent interpersonal & relationship skills including a positive and collegial attitude.
  • A high school diploma or GED are preferred. A minimum of 1 year of experience in a similar role working for a professional services company or hotel concierge is required.

This is an in-office only position Monday through Friday from 8:30am to 5pm.

Ballentine Partners compensation is made up of a base salary and performance bonus. The hourly range for this position is $26 to $35 and is commensurate with experience. Performance bonuses are based upon company and personal performance and are paid out annually.
